Assistant Community Manager

  

Job summary

Assist all licensed Managers with answering telephone calls, letters, notices, mailings, brochures, postcards, newsletters, etc. 

Assist all licensed Managers with all accounting functions as needed and assist with the day-to-day operations of the office.


Summary of essential job functions

  • Answering the telephone system and directing to appropriate Manager
  • Assists the Community Manger with the scheduling appointments with vendors or      homeowners
  • Ensures the manager has the appropriate tools and facilities in order to competently perform their roles 
  • Assists the Community Manager with monthly G/L account closing processes, include accurate recording of financial information 
  • Supports the Community Manager in a variety of ways to ensure the overall smooth running of the community, e.g., walk-in members, new homeowner packets, administration, accounts receivable, etc. 
  • Assists with sending communication or notifications to all members
  • Sorts mail and distributes to appropriate Community Manager
  • Assists with walk-in clients
  • Assists the Community Manager with monthly board/annual meetings, e.g., making copies, gathering information, organizing binders, etc.
  • Distribute amenity information and keys/cards to members of each managed community
  • Other duties as assigned by supervisor
  • Solicitation of vendor bids upon request

Minimum requirements

  • Bachelor Degree in Business or related field preferred 
  • High School Diploma required
  • Community Association Management License is a plus 
  • Previous experience managing others is a plus 
  • Previous experience/responsibilities for operational financial planning and management is a plus

· Ability to lead and manage others

· Ability to drive others toward maximum customer satisfaction 

· Excellent organization and time management skills 

· Strong analytical and decision-making skills 

· Proficient in Microsoft Office Products

· Some night and/or weekend shifts

· Clear and effective writing and/or editing skills

· Strong sense of product ownership and pride in work
